Q: If I hire OCS to help do a one time clean out or purge of a file room what do I need to do? A: Before our arrival we ask that you place all documents to be shred in a central area. We will arrive with two carts so that as the certified driver is shredding one cart the second cart can be loaded with the next set of documents. If you require labor to assist with loading or moving of files please be sure to ask ahead of time so we can make arrangements.
Q: Do I need to remove paperclips and binder contents? A: No, we use a Vecoplan truck that is able to shred clips and binders. There is no need to remove materials. In fact, the less the material is disturbed by employees the better.
Q: How much do you charge for purge jobs or one time clean outs? A: OCS charges by what we call a “tip”. A tip is equivalent to the contents of one 96 gallon secure cart or approximately 300 pounds of paper. A good rule of thumb is that one cart or tip will accommodate approximately five to six bankers/file boxes.
Q: How can I be sure all of my sensitive documents were destroyed? A: We encourage that a representative of your company watch the shredding process in action. Our truck has monitors so that you may view the materials being destroyed. Once the destruction is complete the contents of your purge job is essentially mixed with approximately four tons of other shredded paper in the truck before being taken to a recycling facility. Upon the completion of the shredding you will be issues with a Certificate of Destruction.
Q. Will any of your employees ever touch my confidential documents? A. OCS does not have any contact with the documents other than wheeling the cart to the shred truck for destruction. Other compaies that shred off-site often get top dollar for recycling your paper because they separate white (copy paper) from color documents (file folders). This involves hand sorting which gives you unwanted exposure. To prevent risk select an On-site shredder like OCS that way you know your info is destroyed of before it ever leaves your office.
Q. Are you AAA NAID Certified? A. NAID, the National Association of Information Destruction, is the international trade association for companies providing information destruction services. They have a stringent certification program that acts as an independent auditor checking companies for compliance in critical areas from employee background checks to shred particle size. Make sure to ask for a copy of your providers AAA Certified certificate as proof of their standing. View our certificate
Q. What kind of insurance protection do you provide? A. Most shedding companies provide general liability insurance to protect their customers in the unlikely event that confidential documents are compromised. However, most limit this protection to $1,000,000. A few companies take the extra step to supplement this base coverage with Errors & Ommissions Insurance. OCS has a $10,000,000 general liability insurance policy as well as Errors & Omissions insurance.
Q. Are there any hidden charges? A. Some companies will quote a low price up front then the bill reflects additional charges such as fuel surcharges, security fees and pick up fees. Other companies charge by the minute to shred your documents. OCS charges a flat fee based on the amount of documents you have to shred so there aren’t any suprises when you get your bill.
Q. How much paper will a 96 gallon cart hold? How much will a console hold? A. A 96 gallon cart will hold 350 pounds of paper or approximately five legal size banker storage boxes. A 36” console will hold approximately 75 pounds of paper.
Q. Is there a charge for use of an OCS container? A. No, the container fee is included in your monthly service rate.
